PTA Board Meeting
9 Sep 09
 
The meeting was called to order by President Kristy Scarborough. Members in attendance included Ritch Simmons, Melissa Carpenter, Brenda Kelley, and Gary Bruhjell. Alexis Brown was present, but left the meeting early.
 
Secretary’s Report
The minutes from July 31, 2009 were read and approved as written.
 
Treasurer’s Report
The balance as of 31 Aug, 2009 was32,733.46. The audit report for 2008-2009 has been approved and mailed in. The only change to the budget was the removal of a $157 deposit that had been listed twice.
 
The dispersal to the Teacher Allotment has been made and the Faculty Hospitality Account has been added as a line item to the 2009-2010 Budget.
 
We received $2400 from Boxtops for Education.
 
Motion was made to clarify PTA registration form to show fees of $5 per student and $5 per teacher rather than $5 per student/teacher. Motion was seconded and approved.
 
President’s Report
Committee Chairs are still needed for Publicity and Incentives (Soup Labels / Capri Sun).
 
The school magnets have not sold as well as we had originally hoped. They are difficult to read, smaller than we had thought they were sending us, and more expensive than was originally quoted to us. A Hat Day will be offered on Friday, 18 September, for $1.00 with the school magnet as one incentive in order to sell the remaining 165 magnets.
 
Principal’s Report
There have been no confirmed cases of H1N1 and Midway staff and faculty continuously emphasize proper hygiene and sanitation procedures in order to minimize the impact to our school.
 
The Engineering program is currently being taught to Kindergarten and 5th Grade students for one hour per week by Mrs Bradshaw, Mrs Wilson, and Mrs Buckner. Mrs Bradhsaw is developing Teacher-friendly curriculum guides. She is also developing Centers for K-2nd. Midway is the only Elementary School in the nation that is currently implementing the program as a full curriculum.
 
Science Night was a huge success with over 700 parents and students in attendance. We are excited about the program and the response of the parents.
 
Teacher Toolbox talks went well. Talks seem to go much better if offered one time only instead of during the day and evening. The Evening crowds were larger than last year and seemed to have a better response from the parents.
 
Committee Reports
We have projected 22,500 from the Innisbrook Fundraiser and appear to be on track to make that goal. There were 7 instant winners from the website users.
 
The Fall Festival Trackless Train will be in the bus loop. We will be ordering the glow sticks for approximately 38 cents per stick (exact amount to be ordered not yet determined) and selling them for one dollar.
 
Grade Parents list will be completed by Friday the 11th and parents will be notified prior to Grade Parent Meeting on Monday the 14th.
 
New Business
Budgeted $600 for Visitor/Field Trip Labels but Invoice was $1,035. Mr Bruhjell proposed we take the $435 difference from the Health Room and Midway will cover Health Room costs from the General Fund. Motion was seconded and approved.
 
The District no longer covers the costs of Background checks for Tutors. Motion was made to allocate $500 from the School Equipment Fund to pay for those checks. The motion was seconded and approved. Mr Bruhjell also recommended we look at Nevitt Forrest System. It is an automated system that prints the pass after the volunteer’s personal info is entered and verified and a background check is completed. System costs approximately $7000. Would save the school and PTA money in the long run but initial cost is formidable. Ritch and Jennifer Simmons will look into possible Safety Grant from the State to help pay for the system.
 
Additional Funds are needed for the Basket Raffle at the Fall festival. Motion made to allocate $750 from Fundraiser TBD funds. Motion was seconded and approved.
 
With there being no further business, the meeting was adjourned.
